    About the role

    ETRO Construction is seeking a Brand + Proposal Coordinator to join our Business Development team. This entry-to-intermediate level role supports proposal development, brand communications, and business development initiatives. Working closely with the Brand + Proposal Lead, you'll help prepare pursuit documents, maintain content libraries, and ensure that all materials align with ETRO's brand standards.

    This position is ideal for an organized, detail-oriented communicator who thrives in a collaborative, deadline-driven environment.     What you'll do

    • Assist in the creation and submission of RFPs, RFQs, EOIs, and other pursuit documents.
    • Manage formatting, editing, and version control of proposal content.
    • Track deadlines to ensure submissions are complete and delivered on time.
    • Support development of project sheets, resumes, and company overviews.
    • Maintain and organize ETRO's Proposal Content Library for efficient access.
    • Monitor bid opportunities and update CRM entries (Airtable) with pursuit activity.
    • Assist with business development reporting and the go/no-go process.
    • Format documents and presentations to align with ETRO's brand standards.
    • Collaborate with internal teams (Estimating, Preconstruction, Operations) to gather project data and materials.
    • Support preparation of award submissions, presentations, and internal collateral.
    • Coordinate project photography to highlight ETRO's work and achievements.

    What you bring

    • Experience: 1-3 years of experience in administrative, coordination, or marketing roles.
    • Industry: Previous AEC proposal experience required.
    • Technical: Proficiency with Microsoft Office, Google Workspace, and advanced knowledge of Adobe InDesign.
    • Systems: Familiarity with CRM tools (Airtable experience an asset).
    • Skills: Strong writing, editing, document formatting, graphic capabilities, and ability to coordinate multiple deadlines.
    • Attributes: Exceptional organizational skills and attention to detail; ability to follow direction precisely while managing multiple deadlines; collaborative mindset, openness to feedback, and a keen eye for design and consistency.

    Job Summary

    The Proposal and Business Development Coordinator plays a central role in supporting the company’s growth by managing high-quality proposal development while fostering strong client relationships. This individual coordinates the end-to-end proposal process, ensuring submissions are compliant, compelling, and aligned with client needs, while also actively engaging with clients to maintain relationships, identify opportunities, and support strategic business development initiatives.

    Serving as a bridge between internal teams and external clients, this role combines proposal leadership, business development support, and client engagement. The individual ensures opportunities are tracked, proposals are executed with excellence, and clients receive attentive, professional communication that strengthens trust and positions the company for sustained growth. This position is based out of our Burnaby, BC office!

    Key Responsibilities

    Client Outreach & Relationship Management

    • Serve as a point of contact for assigned clients, supporting ongoing relationship management and communications.
    • Proactively reach out to existing and potential clients to identify upcoming opportunities and maintain regular engagement.
    • Assist in scheduling and preparing for client meetings, including research, briefing notes, and follow-ups.
    • Track client feedback, preferences, and business needs to support account planning and client retention efforts.
    • Support business development leads in maintaining CRM data accuracy and ensuring timely follow-up on leads.

    Proposal Management & Content Development

    • Lead the end-to-end proposal process — from kickoff to final submission — ensuring deadlines, compliance, and quality standards are met.
    • Coordinate proposal and qualification package submissions, including generation, writing and research ensuring brand consistency and timely delivery.
    • Write and edit proposal content, executive summaries, and key messaging sections to ensure clarity, professionalism, and client alignment.
    • Review client RFQs/RFPs to identify requirements, risks, and competitive insights.
    • Support pre-positioning efforts by understanding client objectives and tailoring proposal strategies accordingly.
    • Coordinate inputs from multidisciplinary teams including engineering, procurement, project management, and business development.
    • Develop proposal outlines, schedules, and task assignments to maintain an organized and transparent process. Translate technical input into persuasive, client-focused language.
    • Ensure that proposals meet client requirements, reflect brand consistency, and highlight differentiators.
    • Facilitate proposal reviews, debriefs, and lessons-learned sessions to drive continuous improvement.

    Business Development Support

    • Support pursuit planning, including opportunity tracking, market research, and competitor analysis.
    • Collaborate with marketing and technical teams to prepare presentations, project sheets, and marketing materials.
    • Maintain up-to-date records in the CRM system, ensuring opportunities, contacts, and actions are accurately logged.
    • Assist with tracking business development metrics, preparing reports, and monitoring client engagement activities.

    Marketing & Outreach Initiatives

    • Support organization and participation in conferences, trade shows, and client events.
    • Help coordinate social media and marketing initiatives aligned with BD goals.
    • Contribute to the creation and distribution of targeted email campaigns and client newsletters.

    Qualifications

    • Post-secondary education in Business, Communications, or a related field.
    • 2–4 years of experience in business development, client relations, or marketing coordination (engineering or professional services experience an asset).
    • Strong written and verbal communication skills, with professional presence in client-facing situations.
    • Proficiency with CRM platforms (e.g., HubSpot, Salesforce, or similar) and Microsoft Office Suite.
    • Highly organized with excellent attention to detail and the ability to manage multiple priorities.
    • Collaborative and proactive approach, with a strong client service mindset.
