    Francl Architecture’s Business Development & Marketing team is focused in strengthening Francl's brand and positioning the firm to build lasting client relationships and win meaningful work.

    The Business Development Coordinator plays a critical role in advancing this vision by 1) managing the preparation and coordination of responses to RFPs, RFQs, and other related procurement documents; and 2) supporting other marketing and business development initiatives. This role is responsible for ensuring that all proposal content is accurate, timely, and aligned with client requirements and firm standards. The Business Development Coordinator also supports the maintenance of marketing collateral, proposal templates, and content databases to ensure consistency and efficiency in future responses, as well as in research, social media coordination and business development activities. The position involves collaborating with technical teams, leadership, and marketing staff to gather and format project information, resumes, and other materials for submission.

    The role requires a strong willingness to learn attitude, interpersonal skills, strong organizational and writing skills, attention to detail, and the ability to manage multiple concurrent deadlines. Familiarity with architectural language and design processes is important, as is proficiency with design and layout tools such as Adobe InDesign and Microsoft Office.

    Responsibilities and Expectations

    Proposal Management & Coordination

    • Review and analyze RFP/RFQ requirements, ensuring compliance with submission criteria and deadlines.
    • Lead kick-off meetings, check-in meetings and strategy throughout the proposal process.
    • Collaborate with Principals, Project Leads, and technical staff to develop proposal strategies and gather relevant content.
    • Write, edit, and organize content such as project descriptions, team bios, and firm narratives.
    • Manage timelines, proposal schedules, and final delivery logistics (print and/or digital).

     

    Marketing and Business Development

    • Assist with interview preparation, conference presentations, award submissions, and other marketing collateral updates (e.g. social media, website)
    • Lead research initiatives to develop a strong understanding of what is happening in the industry and what are projects to begin pre-positioning for.
    • Update internal databases (e.g., CRM, project archives) and proposal trackers.
    • Support team in preparing materials for client meetings and internal communications.

     

    Content/ Visual Design Development

    • Maintain a central repository of resumes, project data, awards, and firm credentials.
    • Track proposal outcomes and keep records of all submissions.
    • Support the development of standardized templates, firm qualifications packages, and boilerplate content. Use InDesign and other Adobe Creative Suite tools to design branded, visually consistent materials.
    • Apply quality control standards for formatting, spelling, and graphic layout.
    • Coordinate document finalization, printing, binding, or digital submission packaging.

     

    Qualifications / Assets

    • Bachelor’s degree in Commerce, Communications, Architecture, or a related field is preferred.
    • Minimum 2–4 years of experience in proposal coordination, marketing, or project support within an architecture, engineering, or design environment.
    • Strong written and verbal communication skills for clear, concise proposal content and collaboration with internal teams.
    • Excellent organizational and time management abilities to handle multiple deadlines and coordinate complex proposal processes.
    • Attention to detail and accuracy to ensure error-free, high-quality submissions that reflect the firm’s standards.
    • Highly personable with an aptitude to growing relationships, learning, and resourcefulness.
    • Proficiency in Adobe Creative Suite (especially InDesign) for layout, formatting, and visual presentation of proposals.
    • Familiarity with Microsoft Office Suite (Word, Excel, PowerPoint) for document preparation and data management.
    • Ability to manage multiple projects simultaneously while maintaining attention to detail.
    • Capacity for complex problem-solving and decision-making under pressure.
    • Strong organizational skills and the ability to work independently and as part of a team.
    • Self starter and requires minimal day-to-day supervision.

    Annual Salary: $70,000 - $77,000
    Compensation for this position will be commensurate with experience, skills, and qualifications.

    About the Role

    The Proposal Manager leads the coordination and delivery of ETRO’s proposals and pursuit submissions. This role is responsible for keeping pursuits organized, on schedule, and aligned with ETRO’s standards throughout the full proposal lifecycle. Reporting to the Brand + Culture Director, the Proposal Manager provides leadership and support to the Brand + Proposal Coordinators while working closely with Estimating, Pre-Construction, Operations, and Leadership teams to transform technical information into clear, polished, and client-focused submissions. This position also ensures proposal workflows run smoothly across multiple concurrent pursuits and focuses on execution, team coordination, and proposal quality while supporting broader business development and brand initiatives.

    Focus Area: Proposal Management, Team Coordination, Content Oversight, Pursuit Execution.

    What You’ll Do

    Proposal Coordination and Delivery

    • Lead the coordination and production of project pursuit documents including RFPs, RFQs, EOIs, and design-build proposals.
    • Manage proposal schedules, deadlines, and submission checklists.
    • Coordinate and run kick-off meetings and ensure alignment throughout the submission process.
    • Ensure all proposals are accurate, complete, compliant, and delivered on time.
    • Manage final submission preparation including formatting, printing, packaging, and digital uploads.

    Content Development and Management

    • Review proposal content to ensure consistency, clarity, presentation, and professionalism.
    • Work with the team to gather project information and develop strong client-focused messaging.
    • Maintain and organize proposal content.
    • Support interview preparation and presentation development for shortlisted pursuits.
    • Track and maintain proposal activity and pursuit information.

    Team Leadership and Support

    • Provide guidance and support to the Brand + Proposal team.
    • Support training and development of new and existing team members through mentorship and feedback.
    • Support development related to proposal processes, writing standards, and submission quality.
    • Contribute to creating a collaborative, organized, and positive team environment.

    Process and Quality Improvement

    • Ensure proposals and presentations follow ETRO’s established brand standards.
    • Support ongoing improvements to proposal workflows.
    • Identify opportunities to improve efficiency, organization, and overall proposal quality.

    Cross-Functional Collaboration

    • Collaborate with Estimating, Pre-Construction, Operations, and Leadership teams to coordinate pursuit requirements and gather technical information.

    • Support business development initiatives through effective communication and pursuit coordination.

    Business Development

    • Support business development strategy through opportunity tracking, pursuit planning, and client-focused proposal development.
    • Manage and maintain the CRM, Airtable, and monitor bid sites for upcoming opportunities.
    • Lead business development meetings, track action items, and support go/no-go decision-making.
    • Assist in developing qualifications packages, presentations, and other business development materials.


    What you bring

    • 5+ years of experience leading proposal, pursuit strategy, marketing, or communications functions within the construction, architecture, or professional services industry.
    • Familiarity with RFP/RFQ processes, pursuit cycles, and proposal management tools.
    • Experience in brand management, corporate communications, marketing, or business development leadership roles is considered an asset.
    • Ability to coach and lead business development and proposals professionals through high-pressure timelines.

    Technical Proficiency: Proficiency in Microsoft Office, Adobe Creative Suite, especially InDesign, and CRM tools such as Airtable or similar.

    • High attention to detail and ability to manage multiple concurrent deadlines.
    • Strong writing and editing ability with a sharp eye for grammar and structure.
    • Ability to translate technical concepts into clear, persuasive narratives.
    • Collaborative mindset and adaptability to changing requirements.

    • Post secondary education in a relevant field.
    • Ability to write to the requirements of RFP.

    • Strong knowledge and experience using Microsoft Office (Word, Excel, PowerPoint, Copilot.) with a proven ability to understand the creation and use of templates.

    Bonus:

    • Understanding of municipal RFP processes is a definite asset.
    • Experience in an AEC related industry would be an asset.
